Troubleshooting

# Commercial appliance checks a manager can run before the service call

Commercial equipment troubleshooting at manager level covers the breaker and disconnect, the gas valve at the unit, the water supply and drain, door gaskets, condenser grilles, strainers, crumb and lint screens, and the message on the controller. Check them with the unit off where you can, photograph the data plate, and stop short of gas fittings, refrigerant lines, live panels, fryer vats and machine drums.

## At a glance.

A fair share of service calls end at a tripped breaker, a closed gas valve, a packed strainer or a condenser grille furred with dust. Commercial equipment troubleshooting at manager level means ruling those out safely in a quarter of an hour and writing down what the technician will ask for.

Read the whole guide

### Order of checks Power, gas, water, air, then the screen

Cheapest and safest first; each takes a few minutes.

### Before touching a condenser coil Power off

Traulsen and Victory both open their coil cleaning steps by disconnecting the cabinet.

### Dark display on a dish machine Switch, fuse or breaker first

Hobart lists those ahead of any part.

### What the technician will ask Model, serial and the exact message

Rational wants the serial and software version ready with any error.

In this guide

1. Breakers, disconnects and the plug
2. Gas valves along the cooking line
3. Water supply, drains and air around each unit
4. What the screen and the log already tell you
5. Step by step
6. Questions

## Breakers, disconnects and the plug

Start at the electrical panel. Commercial units usually sit on dedicated circuits, and one tripped breaker can silence a reach-in, a prep table or one leg of a three-phase fryer with no other sign anywhere in the kitchen. Hobart's first two answers for a dish machine with a dark display are a machine switched off and a blown fuse or tripped breaker. Reset a breaker once; if it trips again, leave it off and book, because a breaker that trips twice is guarding against something real.

Look for a disconnect switch too, a gray box with a lever mounted on the wall beside a combi, behind a dish machine or next to an outdoor condensing unit. Crews flip them during deep cleaning and forget them. On plug-in reach-ins and countertop equipment, make sure the plug is fully seated and that nothing heavy has crushed the cord against the wall.

### What stays closed

The breaker handle and the disconnect lever are yours to use. The covers behind them are not: the lower panel of a fryer, the side panel of a combi, the control box on a condensing unit and the panel beside it carry live terminals even when a display has gone dark.

## Gas valves along the cooking line

Each gas appliance on a line normally has its own manual shutoff ahead of its connector, and many buildings add an emergency shutoff tied to the hood fire suppression system. After a hood cleaning, a suppression inspection or a drill, one of those may still be closed. A handle across the pipe is closed and a handle along the pipe is open. Look, do not force it, and never loosen a fitting or unplug a quick disconnect to test the flow.

Read the data plate while you are down there. Frymaster and Pitco stamp the gas type on a plate inside the fryer door, and a fryer built for natural gas will not run properly on propane, or the other way round. If a unit was moved, swapped or borrowed from another location recently, compare that plate with the building's gas before anything else.

### If anyone smells gas

The checks stop there. Close the appliance valve or the main if you can reach it without lingering, light nothing, touch no switches, prop the doors open, get everyone outside and call the gas utility or 911 from outside. Nothing else in this guide resumes until the utility says the building is safe.

## Water supply, drains and air around each unit

Dish machines, combis, steamers and kettles with an auto-fill need an open supply valve and a clear drain. A quarter-turn valve closed under the dish table or a kinked fill hose gives a machine that will not fill; a floor drain choked with food waste gives one that will not empty. Clear what you can reach from the floor and note what you cannot.

Cold units need air. Look at the grille on every reach-in and prep table: gray felt across the fins, cases stacked against the louver or a cabinet shoved flush to the tile will all make a box run warm. Traulsen and Victory both tell owners to disconnect power before cleaning the condenser, and Victory's method is a brush and a vacuum drawn up and down the fins so they do not bend. With the unit off, that is a manager's job.

### Screens and strainers by equipment type

- Dish machine: the strainer pan and basket in the wash tank
- Fryer: the crumb screen and filter pan, cleaned daily on the maker's schedule
- Combi oven or steamer: the drain and any water filter cartridge
- Laundry tumbler: the lint screen and the compartment behind it
- Reach-in and prep table: the front grille and the coil face behind it

## What the screen and the log already tell you

Write down the exact message on the controller, the time it appeared and what the crew was doing when it did. Rational tells owners to have the unit's serial number and installed software version ready for any error message, and prints both in the message itself. A photo of the screen beats anyone's memory of it.

Pull the temperature log for any cold unit. A reach-in that crept from 36°F to 40°F over a week is a different call from one that jumped overnight, and the technician can plan parts from that curve. For hot equipment, note the setpoint and what a separate thermometer read.

- Photo of the data plate and of the message on the screen
- Time the problem started and how often it has happened since
- What has already been checked, reset or cleaned
- Whether the unit is still usable, partly usable or shut down

## Where to stop

Book a visit when a breaker trips a second time, when the problem returns after screens and coils are clean, or when a check would mean going further than a valve handle, a breaker, a plug, a grille or a strainer. Owners and staff leave gas fittings, refrigerant lines and energized electrical panels closed, and keep their hands out of fryer vats and laundry machine drums.

## Step by step.

Five steps, in the order worth doing them.

01

### Make it safe

Stop using the unit, move food out if it is cold storage, and keep people away from hot oil, steam or water on the floor.

02

### Check power

Look at the breaker, the disconnect and the plug, and reset a breaker only once.

03

### Check gas and water

Confirm the unit's own valves are open without touching any fitting, then look at the supply hose and the drain.

04

### Check air and screens

With the power off, clear the condenser grille, strainers, crumb screens and lint screens.

05

### Record and book

Photograph the plate and the message, note the times, and book a visit with those details.

For the heart of your home.

## Questions owners ask.

### Is it worth booking if the unit came back after a reset?

Yes, when it tripped for no clear reason. Note the time and what else was running; an intermittent trip tends to return at the worst hour of the week.

### How often should reach-in condenser coils be cleaned?

The makers ask for regular cleaning and leave the interval to conditions. A kitchen with a fryer bank or flour in the air needs it far more often than a quiet café; look monthly and clean whenever the fins turn gray.

### Can a crew member change settings to clear a message?

Clearing a routine prompt is fine where the manual allows it. Changing setpoints, defrost times or chemical pump settings to make a message go away hides the cause and can push food or ware outside Food Code limits.

### What should be ready when the technician walks in?

Clear access to the unit and its disconnect, the data plate photo, the controller message, the temperature log and a short note of what has already been checked.

## The problems behind it.

Each has a page of its own: what it usually means and the causes in the order worth checking.

## When it needs a technician.

The repairs on the right are where this guide ends when the checks do not settle it.

### Commercial appliance diagnostic visit

One visit finding why a cooler, fryer, oven, dish machine or laundry machine stopped earning its keep.

### Commercial preventive maintenance plan

Scheduled visits across cold, cooking, warewashing and laundry: coils, gaskets, calibration, gas checks and a written log.

### Commercial controls and board repair

Controllers, touch panels, relays, contactors and interlocks tested, and replaced only when the evidence says so.

## More in troubleshooting.

The checks an owner or manager can make safely, from the breaker, the gas valve, the water supply and the drain to door gaskets, coils, strainers, lint screens and the data plate, and where to stop and book.

Safe checks with the unit off

### What controller alarms on commercial equipment are asking for: keep going, clean or shut down

Prompts, warnings and stops on fryers, combis, dish machines, reach-ins and laundry controls. Which messages Rational lets you cook through, defrost readings that look warm, and alarms someone switched off.

Safe checks with the unit off

### Where the data plate hides on restaurant equipment: fryer doors, cabinet corners and the screen

Model, serial, supply and gas type, and every maker puts them somewhere else. Traulsen and Victory reach-ins, fryer doors, a Hobart door top, a Blodgett control compartment, a Rational settings screen and a walk-in's several plates.
