# Repair or Replace Commercial Equipment: The Failed Part, the Hours Lost and What a New Unit Asks

Whether to repair or replace commercial equipment depends on which part failed, what the downtime costs per shift, and what a new unit would ask of the building. Fans, controls, gaskets, igniters and pumps are routine repairs; a compressor on an aging box, a scaled-through steam generator or a corroded wash tank push toward a new unit, and federal limits on cooling gas in new cold storage change the math.

## At a glance.

The unit that just went down is rarely the whole question. What failed, how long the kitchen or the laundry can run without it, what the building must supply for a new one and what the maker's paperwork still promises usually settle the matter before anyone opens a catalog.

## Judge the failed part before the birthday

A ten-year-old reach-in with a dead evaporator fan motor is a small repair on a sound cabinet, while a three-year-old fryer with a cracked frypot is a much harder call. Age tells you how many more parts are likely to follow, but the component that stopped the unit today decides most of the math.

Ask the technician to name the part, say whether it is still stocked, and say what else they saw while the panels were off. A worn door hinge, a condenser fan that hums, or wiring that has cooked near a contactor often matter more to the decision than the part on the invoice.

- Usually worth fixing: door gaskets, hinges and closers, fan motors, thermostats and controllers, temperature probes, igniters and pilot assemblies, gas valves, wash and drain pumps, solenoid valves, belts and door locks.
- Worth a second opinion: a compressor on a box past its middle years, a steam generator heavily scaled, a leaking evaporator coil, a laundry drum bearing on a machine that has run hard for years.
- Usually pointing to a new unit: a frypot that leaks, a wash tank or cabinet rusted through, a cabinet whose insulation is wet, a control board that is no longer produced with no substitute offered.

### The second big failure in a year

One major repair on a unit is ordinary. A second one within about a year, on a different system of the same unit, is usually the signal that the rest of it is wearing out together, and that is the point where most operators start pricing a replacement alongside the repair.

## Put a number on the hours the unit is down

For a business, the repair invoice is often the smaller cost. Count the covers you cannot sell while the fryer bank is short a vat, the product moved to other boxes and the labor it takes, the overtime on the dish line while a single machine does the work of two, and the turns lost in a laundromat with one row dark.

Then compare lead times honestly. A common part may arrive the next day, while an unusual one can take weeks; a new unit may be sitting in a dealer's warehouse, or it may be built to order. Whichever path gets the station back sooner often wins, even when it is not the cheaper one on paper.

### What a new unit asks of the building

A replacement is rarely a straight swap. Check each of these against the unit on the spec sheet before signing, because any one of them can add days or a second trade to the job.

- The same voltage, phase and circuit size, or an electrician to change them.
- The same gas type and connection size, with a new flexible connector and restraint.
- Room under the hood, and hood coverage for a larger cooking footprint.
- Water pressure, water treatment and a drain the new unit accepts, for combis, steamers and dish machines.
- A clear path through the doors, since some cabinets and extractors will not fit without being partly taken apart.

## Federal limits on the cooling gas in new cold storage

EPA's Technology Transitions program limits the hydrofluorocarbons allowed in new equipment. For stand-alone retail food units, the category that covers most self-contained reach-ins and display cases, new units manufactured or imported from January 1, 2025 must use a gas with a global warming potential of 150 or less. Remote condensing units and cold storage systems follow their own later dates.

The same EPA table states that components used to repair existing field-assembled systems are not subject to these restrictions, so a walk-in built years ago can still be repaired. A new self-contained box, though, will usually arrive on a low-GWP gas such as propane (R-290), which ENERGY STAR lists among the lower-impact options and which Traulsen notes is flammable. Service on those units calls for a technician equipped for flammable gas.

## What a newer unit can return on utilities

Efficiency will not justify replacing a healthy unit on its own, but when a failing one is already on the table, it belongs in the comparison. ENERGY STAR publishes average gains for certified commercial food service equipment against standard models, and the gaps are widest where heat or water is used all day.

- Reach-ins and other certified commercial cold cabinets: about 20 percent more energy efficient on average.
- Gas fryers in standard and large vats: about 30 percent more energy efficient.
- Steam cookers: up to 90 percent more water efficient, about 3 gallons an hour against about 40 for standard models.
- Dish machines: about 12 percent more energy efficient and 50 percent more water efficient.

## Read the maker's terms and your own service log

Before any money moves, pull the maker's limited warranty for the unit and check what it excludes. Delfield states that neglecting condenser coil cleaning voids the warranties tied to the compressor. Alto-Shaam excludes damage from poor water quality and from not following the maintenance schedule in its manuals, and Cleveland makes steam generator maintenance and feed water quality the owner's responsibility.

That makes the service log part of the decision. A binder that shows coil cleanings, descaling dates and past repairs lets a technician judge the unit faster and gives you something to show if you ever file a claim with the maker.

### Facts to have in hand

Gather these before the diagnostic visit, so the repair can be priced against a comparable new unit in one conversation.

- Model and serial numbers from the data plate, and the install date if you have it.
- The part that failed and any display code or alarm at the time.
- The last twelve months of service invoices for that unit.
- How many hours a day it runs, and whether another unit can carry the load.
- Utility details at the spot: circuit, gas type, water line and drain.

## Where to stop

Leave the diagnosis to a technician when the decision hinges on a compressor, a coolant leak, a gas valve, a burner or a live control panel. Staff can empty and log a warm box, shut a gas appliance off at its valve and switch off the breaker, but nobody on the crew opens a gas fitting, a coolant line or an energized panel to see how bad it is.

## Questions owners ask.

### Is there an age at which commercial equipment is always replaced?

No. A well-kept cabinet or fryer body can outlast several rounds of fans, controls and igniters. The deciding points are the part that failed, whether parts are still made, and how often the unit has been down lately.

### Can an older walk-in cooler still be repaired under the new EPA rules?

Yes. EPA states that components used to repair existing field-assembled systems are not subject to the Technology Transitions restrictions. The limits apply to new equipment and new installations.

### Should we replace a unit just to get ENERGY STAR savings?

Rarely on savings alone. The savings are real, but they matter most when the old unit already needs a costly repair and the two options are being priced side by side.

### Does a missed coil cleaning really affect the maker's coverage?

It can. Some makers, Delfield among them, state that neglecting condenser coil cleaning voids compressor coverage, so a dated log of those cleanings is worth keeping.

## The problems behind it.
